Every student receives two auto-generated identifiers.

Label ID (barcode / QR)

Printed on physical labels.
Format: {birthYear}-{initials}-{7-digit-sequence} This permanent Label ID is not the same as the optional 5-digit print-batch sequence (00001, 00002, …) that appears on Avery sheets for that print job only. See Labels and scanning.

Student ID (demographic)

Used for reporting and ASISTS alignment.
Format: {lastName}{firstName}{agencyId}{D}{M}{YYYY}
  • Day and month are not zero-padded (ASISTS style): 1979-05-222251979
  • Agency codes are set per school (e.g. School 8 → R08)
When intake confirms Same person sitting here — continue as NEW from an ASISTS/legacy roster match, the full ASISTS ID from the export is kept as the Student ID (it may include an ASISTS internal number between agency and DOB, e.g. SMITHFITZROYR082522026211958). Brand-new students with no ASISTS match get the generated form above (no internal number).

Agency IDs

Configured per school under Admin → Schools: Use Backfill Student IDs in Schools to regenerate existing records to the ASISTS-style DOB encoding. Backfill does not invent ASISTS internal numbers — only intake/legacy matches (or a CSV studentId column) preserve full export IDs.
